Zaqi Care Privacy Policy

1. Information We Collect

When you use Zaqi Care, we may collect the following types of information:

• Account Information: Name, email address, and profile photo when you create an account via Google Sign-In or Apple Sign-In.
• Care Data: Patient information, medical records, medication schedules, vital signs, feeding logs, airway assessments, handover notes, and other care-related data that you choose to enter.
• Documents and Images: Photos, PDFs, and documents you upload for care documentation or AI-assisted data extraction.
• Device Information: Device type, operating system, and app version for technical support and push notifications.
• Usage Data: Information about how you interact with the app, including feature usage patterns.

2. How We Use Your Information

We use the information we collect to:

• Provide, maintain, and improve the Zaqi Care platform
• Enable care team collaboration and patient management
• Send push notifications for care reminders, medication schedules, and team updates
• Process subscription purchases and manage your account
• Provide AI-assisted document processing (see Section 6 below)
• Protect against unauthorized access and ensure platform security

3. Data Storage and Security

Your data is stored securely using Google Firebase (Firestore) with encryption at rest and in transit. We implement industry-standard security measures including:

• Firebase Authentication for secure sign-in
• Firestore security rules with organization-based access control
• HTTPS encryption for all data transmission
• Role-based access (guardians, nurses, caregivers) to limit data visibility

4. Data Sharing

We do not sell your personal information. We may share data with:

• Care Team Members: Data you enter is shared with members of your care organization based on their assigned role and permissions.
• Infrastructure Providers: Google Cloud / Firebase for hosting, authentication, and data storage. Cloudflare for content delivery.
• AI Processing (with your explicit consent): See Section 6 below.
• Legal Requirements: When required by law or to protect our users and platform.

5. Your Rights

You have the right to:

• Access your personal data through the app
• Correct inaccurate information
• Delete your account and associated data
• Leave a care organization and revoke access to shared data
• Withdraw consent for AI processing at any time
• Export your data

6. AI-Assisted Document Processing and Third-Party AI

Zaqi Care offers optional AI-powered features to help extract draft information from documents you upload. These features are processed by a contracted third-party AI service provider (currently Google LLC, via their Gemini API).

6.1 What Data Is Sent

When you use AI-assisted features (Inventory OCR, Medication OCR, or Document AI Summary), the following data may be transmitted to a third-party AI service:

• The image, PDF, or document file you selected
• All text visible in the document
• Care-related content visible in the document, such as patient or care notes, medication names, dosage text, inventory item names, quantities, dates, and handwritten or printed labels
• Technical request metadata needed to process the AI request

6.2 How Data Is Used by the AI Service

a third-party AI service processes the submitted data solely to extract draft information (e.g., inventory items, medication entries, document summaries) and return it to the app for your review. AI output may be inaccurate and nothing is saved automatically — you must review, edit, and explicitly confirm results before they are stored.

6.3 Consent Requirement

AI processing is never automatic. Before any data is sent to a third-party AI service:

• You are shown a clear disclosure explaining what data will be sent, who receives it, and how it will be used
• You must explicitly tap "Continue with AI" to consent
• You may cancel at any time — no data is transmitted until you consent

6.4 Third-Party Data Protection

We require that any third-party service receiving user data provides the same or equal level of data protection as described in this policy. Our AI service provider processes data under strict contractual terms that prohibit using submitted data for model training. Data is processed only to fulfill the extraction request and is not retained beyond the processing session.

7. Children's Privacy

Zaqi Care is designed for use by adult caregivers and healthcare professionals. Patient data (including data about children) is entered and managed by authorized adult users. We do not knowingly collect personal information directly from children under 13.

8. Subscription and Payment Data

Subscription purchases are processed through Google Play or the Apple App Store. We do not collect or store payment card details. Subscription status is verified server-side using Google Play Developer API and Apple App Store Server API.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated through the app. Continued use of Zaqi Care after changes constitutes acceptance of the updated policy.
